What is a Contract Register Template?

A contract register template is a structured document that organizes and tracks all contractual agreements throughout a project's lifecycle. It plays a critical role in managing construction contracts, helping to ensure that all contract-related costs are monitored and controlled

This version is delivered as a secured PDF, but it’s built around the structure of a contract register template Excel file. You get the clarity of a spreadsheet without worrying about broken formulas, formatting, or access issues.

Use it to:

  • Organize contracts by package, contractor, or project phase
  • Track changes and variations over time
  • Quickly see what’s been paid, what’s pending, and what’s outstanding

If you've ever used a contract tracking spreadsheet in Excel file, this template will feel familiar—just simpler to share and review.

Who Should Use This Contract Register Template?

A contract register template is designed for professionals who need to keep contract information accurate, accessible, and audit-ready.

If you’re a project manager overseeing multiple contractors, this template keeps things from slipping through the cracks. It’s also ideal for project owners who want a high-level snapshot of financial exposure and progress.

Contract administrators will find it helpful for tracking approvals, managing claims, and staying aligned with commercial requirements. It’s also a useful tool for commercial managers reporting to executives or funding bodies.

Even if you're already using a contract tracking spreadsheet template, this PDF version can serve as a static, shareable snapshot during meetings or reviews.

Why You Need a Contract Register Template

Construction projects rely on dozens of contracts. Every contract has different scopes, deadlines, and financial commitments. Without a system to track them all, it’s easy to lose visibility, miss key dates, or make costly mistakes.

A contract register template brings structure to the chaos. Here’s why it’s essential:

  • Centralises contract data: No more scattered spreadsheets, inbox searches, or outdated trackers. Every contract is listed in one document—ready when you need it.
  • Improves accountability: When contract responsibilities and milestones are visible, everyone knows what they’re responsible for and when.
  • Supports change management: Track variations, extensions of time (EOTs), and change orders as they happen—reducing disputes and paperwork later.
  • Streamlines claims and payments: With all contract values, payment schedules, and retentions visible, you can manage cash flow with confidence and avoid missed claims.

When to Use this Free Contract Register Template

Start using a contract register template as soon as contracts start coming in and keep them updated until project closeout. It’s a living record that supports your project from pre-construction through to post-completion.

Here's how it fits into every construction phase:

  1. Planning and Procurement: Use the register to log incoming contracts, tender details, and key commercial terms. It helps you track awarded contracts versus pending ones, so you’re not left guessing who’s doing what.
  2. Contract Setup: Enter start dates, contract values, and milestones once agreements are signed. This gives you a clear foundation for project tracking and internal approvals.
  3. Delivery and Execution: Update the register as variations, claims, and changes come through. Whether you’re using a free contract tracker excel template or PDF version, this helps you stay on top of scope, budget, and performance in real time.
  4. Progress Monitoring: Refer to the register during weekly site meetings, payment claim reviews, and client updates. It makes it easy to check who's been paid, what's outstanding, and where delays might be brewing.
  5. Closeout and Final Claims: Track final payments, outstanding retentions, and contract completion dates. The register ensures nothing is missed during handover.
  6. Post-Project Review and Archiving: Keep a copy on file for audits, lessons learned, or reference on future projects. Like a contract register template excel, it offers a structured historical record you can rely on.

How to Use Mastt’s Contract Register

Managing contracts in Mastt is simple, especially when your project has multiple budgets or funding sources.

Here’s how to get started and make the most of the tool using our contract register.

1. Add a Contract Across Multiple Budgets

Start in Mastt’s Cost module. From the Overall page, click + Add Contract, or use the three-dot menu next to a specific budget to link a contract directly to it.

As you enter contract details—title, vendor, value, and dates—you can assign each milestone to a different budget line. This is perfect for projects where a single contract is funded by multiple sources or split across stages.

Once saved, the contract will automatically appear under each relevant budget, so you can see exactly where funds are allocated and how they’re tracking.

2. Update or Adjust Contracts

Need to make changes? Open the Contracts tab in the Cost module, find the contract you want to edit, and click the three-dot menu. You can update contract info and budget links as needed.

Just note that some changes may be locked if variations or payments have already been recorded.

3. Remove Contracts (if needed)

To delete a contract, clear out any linked payments, variations, or forecasts first. Once the contract is unlinked from those dependencies, it can be safely deleted.
